You have work to finish. We’ll handle the phone intake.

Auto Intake answers inbound calls, captures the service request, applies the business rules you approve, and sends the lead to you by email. We build it, run it, and keep it current, so you do not have software to manage.

From first call to your inbox

We answer your phone, take the details, apply your rules, and send you the lead.

Auto Intake keeps phone intake organized without asking you to stop the work or manage another tool.

  1. A call comes in

A customer calls your business and explains what they need.

  2. One clean record

The caller's contact details and service request stay together in one structured record.

  3. Your rules are applied

The service, area, urgency, and required information are checked against the rules you approved.

  4. The lead is delivered

You receive the lead by email with the context needed to follow up.

When the phone rings, the work still has to get done.

See what gets handled

You’re under a sink, on a ladder, or three feet into a crawlspace. The phone rings somewhere back in the truck.

It may be a real opportunity, but stopping mid-job to answer the phone and take every detail is not realistic.

By the time you can respond, the customer may have moved on. That is not laziness or disorganization. It is what happens when the owner is also doing the work.

The call still needs an answer, even when you cannot pick up.

We operate, monitor, and tune the system. You receive lead emails and reporting without managing the engine behind them.

  • Your Approved Intake Rules define what is checked before the lead reaches you.
  • Owner handoff by email keeps the caller details and decision context together.
  • Delivery monitoring, monthly reporting, and ordinary tuning are included.

Built around your rules

You approve how phone calls are handled before we launch.

We map the services you take, the areas you serve, the work you prefer, what counts as urgent, and who should receive each type of opportunity. You approve those rules before launch, and we keep them current as the business changes.

  • Accepted and excluded services
  • Service area
  • Preferred work
  • Urgency
  • Required information
  • After-hours handling
  • Routing recipients
  • Human-review conditions

Ordinary tuning inside the approved outcome is included. A new location, major workflow, channel, integration, or custom function may require additional implementation and revised pricing.

How it works

Built around the way your business actually works.

We begin with your services, service area, preferred work, urgency rules, email handoff, and the information you need before acting.

  1. Discovery

We learn how calls are handled, which work fits, what needs attention, and what should reach you by email.

  2. Design

We turn those decisions into proposed intake rules and walk through them with you before launch.

  3. Launch

We connect the phone line, verify the email delivery path, and introduce the system carefully.

  4. Optimize

We monitor delivery and include ordinary tuning as your preferences and business change within the approved scope.

Why local matters

Not a SaaS company. Not a marketing agency. A local operator.

Built by someone who knows the workday.

With more than five years working across mobile trades in the Okanagan, Kaden understands the reality of running the day from a work vehicle while balancing jobs, customers, travel, tools, and a phone that never picks the right time to ring. Auto Intake is built for that workday, not an ideal office workflow.

Based in West Kelowna, we build, run, and tune Auto Intake around the real service area and operating decisions of each business.

  • The drive has to make sense.

A Peachland job may be worth the drive, or it may not be. The job, schedule, and service area all matter.

  • Local phrases need context.

“My place at the lake” can mean nearby or well outside your normal service area.

  • The valley is not one market.

Kelowna, West Kelowna, Vernon, Penticton, and Lake Country are distinct operating areas.

Local judgment helps the rules reflect the way your business actually decides which work to take.

Why Desmarais Automations

Built for businesses that want the intake handled.

  1. Built from real trade experience

Auto Intake is shaped around the workday of mobile trades, not an ideal office workflow.

  2. Local judgment

We understand the Okanagan context behind service areas and local inquiries.

  3. Direct operator access

You work directly with the person responsible for building and managing your system.

  4. Built to change with your business

Because we control the core system, the Approved Intake Rules can evolve with your business instead of forcing you into a rigid app.

FAQ

Questions before we talk?

What is Auto Intake?

Auto Intake is a managed phone-intake service for trades businesses. It answers inbound calls, captures the service request, applies the business rules you approve, and sends the lead to you by email.

Does it generate leads?

No. Auto Intake handles inquiries the business already receives. It is not advertising or lead generation.

Does it replace a receptionist?

No. Auto Intake handles the defined phone-intake flow. Its current scope does not schedule or dispatch work, prepare quotes or invoices, operate a CRM, or replace the full judgment and customer-service role of a receptionist.

What does the current version handle?

The proven current capability is inbound phone intake with owner handoff by email. A website form may be separately scoped after the client's real form and delivery path are verified. Inbound email, customer SMS, live transfer, scheduling, dispatch, and CRM updates are not included in the current public capability.

What if a caller doesn’t want to be recorded?

Auto Intake stops the automated phone intake and directs the caller to a non-recorded contact option the business has approved, such as its email or existing contact form.

How are inquiries qualified?

We build qualification around your Approved Intake Rules, including services, service area, preferred work, urgency, required information, after-hours handling, and routing recipients.

What happens when an inquiry is not a fit?

It is handled according to the rules you approved. Depending on those rules, it may be excluded from normal routing or surfaced for human review, while the inquiry remains recorded.

What is included in ongoing tuning?

Ordinary adjustments inside the approved outcome are included, such as refining existing rules, service-area boundaries, urgency wording, and routing recipients. New channels, integrations, workflows, locations, or major scope changes may require additional implementation and revised pricing.

How much does it cost?

Standard Auto Intake is $795/month plus $1,250 for Implementation & Launch, which may be paid upfront or spread over the first three months. The initial commitment is three months. The first five businesses may join at $500/month with Implementation & Launch included and the same three-month initial commitment.

Do you work outside the Okanagan?

Desmarais Automations is local-first and based in West Kelowna. Suitable work outside the immediate Okanagan may still be considered, while the primary focus remains Kelowna, West Kelowna, Vernon, Penticton, Lake Country, and nearby service areas.

What happens when a business adds a location or major workflow?

A new location, business unit, channel, integration, or major workflow changes the approved scope. It may require additional implementation and revised pricing, which we scope and agree before work begins.
